Optimise approval processes

The review and approval of documents can often be a long-winded process. A side effect of this is often frequent email correspondence.

This is true of both the basic documents, usually in German or English, and the subsequent translations. Translation projects often involve a large number of emails and countless PDF versions. This is reason enough to think about how to streamline this process.

Anyone who has sent translated documents in 10, 20 or 30 languages for approval to the same number of countries knows how complex this process is: 

  1. Sending emails to contacts in all countries with attachments or download links.
  2. Requesting confirmation of the date for the corrections.
  3. Receiving corrections from the first countries, sending reminders and requests for the corrections from countries that are late.
  4. Incorporating the corrections and re-sending the PDF files with a request for approval.
  5. Receipt of additional corrections specific to various languages.
  6. Once more incorporating the corrections and re-sending the PDF files with a request for approval.
  7. / 8. / 9. etc.

Lengthy approval processes
Such a process can take several weeks or months and in the end, when all the translated documents have finally been approved, no-one can keep track of exactly who ordered and incorporated which corrections and when. If we assume 5 to 10 emails per country, if 20 countries are involved we are already talking about 100 to 200 emails that need to be read, correctly interpreted and processed. This involves a high risk of errors, lost emails etc. The same naturally also applies to the review and approval of the basic documents, which are usually in German or English. In this case conventional processes also often mean that corrections are overlooked in the daily flood of emails and in the end nobody knows exactly who made and incorporated which correction. One of the greatest disadvantages is that it is not possible for several people to comment on a document at the same time.


Online proofing platform
An online proofing platform can speed up the approval process considerably and also features useful options for providing a clear overview of the status of each individual document. This platform is basically a cloud solution to which documents can be uploaded and comments added. It is a centralised data platform which can be easily accessed by all parties involved.
